Physical Processing of Print Materials

  1. Identify the material's collection designation by matching the flag color.
  2. Refer to appropriate section below or click on the color.

Cook Library-Main Campus

Regular Collection- Items in the regular circulating collections of the main library of USM. Please note that paperback books, books with software, spiral-bound items, and books stapled at the spine require additional processing.

  1. Verify the call number on the white slip with the call number on the label.
    Affix correct spine label to its corresponding book on the spine approximately
    one finger's width from the bottom (roughly 5/8").
    • The preference is to attach the call number to the spine
      unless the label would require excessive trimming.
    • A margin of at least 1/8 inch should separate the print
      on the label from the edge of the label.
    • All cuts must be straight and the label must be centered
      and parallel with the spine edges.
  2. If the label will not fit the spine, trim off excess length and affix to the front cover in the uppr left hand corner.
    • Allow at least 1/2 inch between the label and the edges of the book cover.
    • Label protectors must be used over labels attached to the front of books.
  3. A label protector must be applied over the top of the label.
    • The protector must extend beyond the edges of the label
      at least 1/8 inch on all sides.
  4. Stamp two page edges with "USM Libraries" stamp of appropriate size.
    • Stamp the top with the front of book facing towards you.
    • Stamp the side edges with the front of the book facing away.
  5. Using the USM property stamp, "The University of Southern Mississippi/
    University Libraries/ Hattiesburg, MS," stamp the front endpaper (leftpage)
    directly if the paper is plain and light colored.
    Affix a white label that has been stamped over any dark-colored endpaper.
    • If the endpaper contains intellectual content, then stamp the first blank page,
      preferance to the left-side pages.
    • If no pages are blank, then place book on shelf for tip-ins.
  6. Glue the date-due slip to the last page on the left side.
    • If the endpaper contains intellectual content, then stamp the first blank page,
      preferance to the left-side pages.
    • If no pages are blank, then place book on shelf for

    Cook Library- Main Campus- Reference Materials

    Reference Materials- Reference materials will have pink flags and will have "Ref" on their spine labels. Process as described above except:

    1. Never obscure any printed information with the spine label.
      This includes volume numbers, publisher information, author, and title.

    2. Do not place date-due slip in back of book. Stamp the inside of the back cover "Does not circulate."
      • If the end paper is dark-colored, then stamp a white label and affix the label to the back inside cover.

    Cook Library-Main Campus- Juvenile Materials

    Juvenile Materials- Juvenile materials housed on the second floor of
    Cook Library will have yellow flags and will have "Juv" on their spine labels.
    Process as a regular Cook collection item.

    Gulf Coast Library, Curriculum Lab & Media Center (USMGC)- Gulf Coast Campus- General Collection

    USMGC- These materials have light green flags.
    Please note that paperback books, books with software, spiral-bound items, and
    books stapled at the spine require additional processing. Follow same procedures as Cook Library Regular Collection and Reference Materials as is appropriate excepting the following:

    1. Stamp with the "Robert M. Cox" property stamp on two edges of the book.
      Stamp the top with the front of the book facing you and stamp the side with the
      front of the book facing away from you.

    2. Stamp with the "Robert M. Cox" property stamp on the inside front cover (left side page) if the page is blank. Otherwise use clear space on the following left-side page.
      If the end paper is dark, stamp a white label and attach the label to the page.

    3. Verify the spine label and OPAC record for the item before mailing to USMGC.

    4. Box USMGC books together and address to the Head of Collection Development
      at USM-GC Library. The shuttle to the Coast leaves from the Cook Mail Room
      Monday, Wednesday, and Friday at 11am.

    Curriculum Lab- These items have a dark green flag and should have the
    prefix "CurrLab" on their spine labels Process as regular Cox materials, except:

    1. Use the CMC Curriculum Lab property stamp on the edges of the pages and on the inside front cover of the item.

    McCain Library- Main Campus- Special Collections

    Archives- Perform no physical processing on these items. Forward them to the University Archivist.

    de Grummond- Spine label Prefix is "de Grummond"
    Perform no physical processing on these items.
    The Cataloging Associate for De Grummond will print call number, author and title on an acid-free slip.

    Genealogy- Spine label prefix is "Geneal"
    Perform normal processing procedures for Cook Reference material, except:

    1. Do NOT affix a security target. The McCain Library staff applies a unique security system.
    2. Send books and serials to third floor reading room of McCain for verification.

    Mississippiana- Spine label Prefix is "Mississippiana"
    Perform no physical processing on these items.
    The Cataloging Associate for Mississippiana will print call number, author and title on an acid-free slip.

    • State Documents- Spine label Prefix is "Miss". These items receive call number labels, and "Does Not Circulate" stamps only. Send to McCain.

    Special Collections- Spine label Prefix is "Special Collections"
    Perform no physical processing on these items.
    The Cataloging Associate for Special Collections will print call number, author and title on an acid-free slip.
