Fixed Fields

Accm Use codes as needed for accompanying materials, such as composer/performer biographies, historical/technical information about the music, librettos or discographies.
Audn For general collection, leave blank; For CMC or de Grummond, use j.
BLvl Use m unless part of a series.
Comp Code for the whole work, not for individual movements. If mu (multiple forms) is used, then an 047 must be used to list the forms. Use uu when items whose form and genre are unstated or unknown or whose subject headings reflect only the medium of performance (i.e., Horn music). Use zz for genres (i.e., Incidental music) or forms specified on the item but not on the Comp list in the format manual.
Ctrl Leave blank.
Ctry Code for the country of production of the version in hand, not for previous versions mentioned. Do not code here for the recording location.
Dates Consult format manual.
Desc Use a for AACR2.
DtSt Consult format manual, and coordinate with Dates. When there are multiple dates, give a "p" date precedence over any "c" date.

If there is a libretto, use |d for the language of the sung text, |e for the language(s) of the libretto, and |g for the language(s) of any other accompanying material. Consult format manual for use of indicators.
045 If present, let stand if correct. Consult format manual as needed.
047 Use only when the Comp fixed field is mu. Consult format manual for list of codes.

For recordings containing multiple works but lacking a collective title, do not use field 246; instead, create a 700 analytic entry for each work and composer listed on the item.
260 In |c, a date beginning with "p" takes precedence over any date with "c."

Enter a rounded total duration (For CDs, if the total duration not stated on item, the duration may be found by inserting CD into CD player and checking display). Always state "digital" in |b. Use "stereo" or "mono" only if it appears on item itself. Add |e for significant accompanying material (if unpaged, count the pages and put number in brackets). Use "+ |e 1 booklet" for stapled booklets or "+ |e 1 insert" for folded inserts.

The duration of the sound recording.
Use six character positions in subfield |a.  The six positions represent the duration of a work in hours, minutes and seconds.
Place a note in the 500 field to reflect precise total duration.

Series.  It is USM's policy to trace (index) most series.

A. Gifts and materials ordered through the Acquisitions Unit:
For series in a 490 field with first indicator zero:

1. For unnumbered series: change the 490 0_ to 440 _0 and continue cataloging the item.  The 440 series will show up on the montly series report and will be checked at that time.  Since de Grummond series are not classed together, this procedure should be followed for all de Grummond series, numbered and unnumbered.
2. For numbered series: Make a printout of the catalog record and give it, with the item, to the Senior Catalog Librarian, who will decide on the correct form and classification for the series and make a local series authority record, if needed.

For series in a 440 field:

Accept series statement as is, except for removing initial articles and changing the corresponding filing (second) indicator to zero.  440 series will show up on the monthly authority report and will be reviewd at that time.

For series in a 490 1_/830 field combination:

Accept fields as they are.  Series will be reviewed from the monthly series authority reports.

500 Publisher number.
EXAMPLE: 500       Telarc: CD-80507.
500 Note for form or performance medium in each work.

500       1st work for horn quartet, 2nd work for trombone and piano.

Language note for works sung in a language other than English. Coordinate with fixed field Lang.

546         Sung in German.

511 Performer note. Always use 0 in Ind. 1 for performers in a music sound recording. If appropriate, list instrument or voice with each name. Punctuation between performers is space-semicolon-space, same as in field 245 |c.
518 Date/time and place of event note. Must be present if field 033 is given.
500 Note stating Compact disc (For CDs only).
500 Note describing accompanying material (i.e., Program notes, usually inserted in container).
500 Note for precise total duration (durations if more than one disc).
500         Duration: 1 hr., 15 min.
505 Contents note. Obligatory when there are distinctively named multiple works on a recording. Durations of individual works should be included when available. Place durations after each statement of responsibility. However, a 505 is not necessary if all separate works are listed in field 245.
Ind. 1: Use 0.
650 Current practice is to include at least one LC subject heading for form (i.e., Sonata) or genre (i.e., Jazz) and at least one subject heading for instrument or voice (i.e., Horn music).
700 In recordings containing multiple works by multiple composers, create field 700 analytic entries for each work and its composer (Ind. 2 will be coded 2).  Use the OCLC authority file.  If a work is an arrangement, use |o arr.; titles from authority records reflect original instrumentation.  Delete |f if present.  Also, make field 700 added entries for performers, conductors, etc.  Use |4 relator codes when appropriate.
740 Delete such fields if they contain the exact titles already given in a 245, 246, 505, or 700 field. If the 740 field is used to provide access for portions of the title in the 245 field, move the partial title information to a 246 field (consult format manual for appropriate indicators).  Information in the 740 field can be reflected in the 700 field with author and |t (title); Use Validator or authority files for an authorized heading.
